Mail to 2Do

Mail to 2Do gives your Mac a private, receive-only email address. Anything sent to that address becomes a normal task in the 2Do list you choose — no extra apps, no account to create, nothing to install anywhere else.

What You Need

Mail to 2Do is only available in 2Do for Mac (not iOS / Android) and requires an active license:

• Direct download: Mail to 2Do runs while the license is within its active period. Renewing the license keeps the same address working.
• Mac App Store and Setapp: an active subscription.

Each Mac gets its own private address, tied to your license and the installed copy. It looks like this:

Setting It Up

1. Open 2Do > Settings > Mail to 2Do.
2. Turn on Enable Mail to 2Do.
3. Choose the list where emailed tasks should be saved.
4. Copy your address and save it as a contact with a memorable name, such as "2Do Inbox."

Everyday Uses

• Brain-dump. Email yourself a one-line reminder from work, from your phone, from anywhere — it's waiting in 2Do when you get back to your Mac.
• Forward things that need action. A flight confirmation, an invoice to pay, a message you must reply to: forward it and the subject becomes the task, with the message text saved in the notes.
• Send yourself a checklist. Number the lines of the message and it arrives as a checklist (see below).
• Let others file work for you. Anyone or anything that can send email can create tasks: a mail rule that forwards matching messages, an automation service, a report from a scanner or server, or a chore from a colleague at work.

A quick example:

Sharing Your Address With People You Trust

Your address works like a private phone number: anyone who has it can add tasks to your list, and only you decide who gets it.

Share it with your partner so the groceries land on your list instead of in a chat thread. Give it to a family member who keeps "remembering things you should do." Hand it to an assistant or colleague who files errands your way. Whatever they send appears in your chosen list, ready for you to triage.

Two things to know when sharing:

• Mail to 2Do is receive-only. Senders never get replies, confirmations, or bounces — messages simply appear in your 2Do.
• If the address ever spreads further than you'd like, use Replace Address in Settings. The old address stops working instantly and permanently, and you get a fresh one to share.

From Email to Task

Every message is converted the same way:

• The subject becomes the task's title (leading "Re:" and "Fwd:" are trimmed off).
• The plain-text body becomes the task's notes, up to 10,000 characters.
• Attachments and HTML formatting are not captured. An HTML-only message may create a task with just its subject as the title if the body could not be parsed.

Checklists

Number the lines of your message body, typing 1. 2. 3. yourself with one item per line, and 2Do creates a checklist instead of a plain task, with each numbered line as an item. Start the body with 1. — text before the first numbered line keeps the message a normal task. When the body mixes numbered lines with other text, the full message text is kept in the checklist's notes; a body that is only numbered items becomes just the checklist, with no notes. Email signatures ("Sent from my iPhone" and the like) are trimmed off automatically.

Filing Instructions

The subject can carry small filing instructions in parentheses. 2Do removes them from the task title and applies them as it saves:

Supported action types are call, message, url, visit, and google. Dates accept natural words such as today and tomorrow, or a typed date and time. If a named list doesn't exist, the task simply lands in your chosen destination list.

Private by Design

The moment your email arrives, it is converted into a task payload and encrypted with a key that only your Mac holds (we have no access to this). The raw email is deleted immediately after conversion, with a 24-hour failsafe to remove it if immediate cleanup does not complete. Once the encrypted payload is stored, we cannot read your message; no human-readable message content is kept at rest.

The encrypted payload waits only until your Mac saves the task. It is then deleted permanently and automatically. If your Mac remains offline, the payload is kept for at most 30 days and then permanently deleted.

Nothing is stored after delivery. Mail to 2Do does not create a mailbox or a separate email account that you or anyone else can browse.

Delivery

Delivery is normally instant when your Mac is online and 2Do is running. If the Mac is offline or 2Do is not running, the encrypted task waits for up to 30 days and is delivered when the Mac and 2Do are available again.

2Do also checks for new mail in the background on its own. Impatient? The Fetch Now button under Settings > Mail to 2Do > Delivery checks immediately.

Tasks created from email sync onward to your other devices through your normal 2Do sync, like any other task.

Your Address and Your License

An address belongs to one Mac and is tied to your license and that Mac's 2Do database. If you restore that database on a new Mac, 2Do can move the existing address to the new Mac after you confirm the move.

A personal license allows up to 5 addresses. A team license allows one address per seat. You normally never need to think about this: each Mac simply receives its own address when you enable Mail to 2Do.

If every address slot is already in use when you enable the feature, 2Do shows the addresses assigned to your license, partially masked for privacy and with last-used dates, so you can permanently release one you no longer need from any of your Macs. Releasing an address deletes its undelivered mail, disables Mail to 2Do on the Mac that was using it, and frees that slot. The released address stops working permanently.

An address also expires permanently after 12 months of disuse. Replaced, released, disabled, and expired addresses are never reused.

Limits

The following limits apply to each private address:

• Up to 10,000 characters of plain-text notes per task.
• Up to 512 KB for the complete email message.
• Up to 50 messages per day.

Mail that exceeds a limit or is flagged as spam is discarded silently. No bounce is sent.

Troubleshooting

Mail Is Not Arriving

Check that:

• The receiving Mac is switched on.
• 2Do is running.
• The Mac is online.
• Your 2Do license is current.
• You sent the message to the exact private address shown in Settings > Mail to 2Do.

Messages wait for up to 30 days while the Mac or 2Do is unavailable. After that, they are permanently deleted. Because the service does not send bounces, the sending mail app will not receive a delivery-failure message.

"This Address Lives on Another Mac"

You may see this choice after restoring or cloning a 2Do database:

• Move Address to This Mac keeps the existing address and moves delivery to this Mac without using another license slot. Any undelivered mail waiting for the old Mac is permanently discarded, and the old Mac can no longer use that address.
• Use a New Address leaves the other Mac and its address unchanged, then creates a separate address for this database copy if your license has capacity.

Choose Move Address to This Mac when this Mac is replacing the old one. Choose Use a New Address when both copies will remain in use independently.

You Have Reached the Address Limit

When your license has no free address slots, 2Do opens the capacity sheet. It shows the license's partially masked addresses and when each was last used. Permanently release an address from a retired Mac to free its slot, then continue setup.

Releasing an address permanently retires it, deletes its undelivered mail, and disables Mail to 2Do on the Mac that used it. If you still have the 2Do database or backup that owns an address you recognize, restore that database and choose Move Address to This Mac instead; moving preserves the address and does not use another slot.

Replace Address or Disable Mail to 2Do

• Replace Address keeps Mail to 2Do enabled on this Mac and uses the same license slot, but gives it a new private address. The old address stops working permanently, and any mail still waiting for it is deleted. Update your saved contact with the new address.
• Disable Mail to 2Do turns the feature off on this Mac, permanently retires its current address, deletes any undelivered mail, and frees the license slot. Enabling the feature again later creates a completely new address.

Old addresses are never reused.
