Tags and Nearby
The Utility Panel is 2Do's context surface. It contains Tags for abstract context (energy, person, status), Nearby for spatial context (where the task is in the world), and Calendar Events for a quick look at your calendar.
Reaching the Panel
- iPhone — swipe the task list to the left to reveal the Utility Panel.
- Narrow iPad window — use the same swipe-left gesture when 2Do is in Split View, Slide Over, or any narrow layout.
- Wide iPad layout — keep the right calendar/editor pane visible for planning, and open the separate Utility Panel when you need Tags or Nearby.
Swipe the task list back toward the center when you want to collapse the panel and return to the task list.
Tags
The Tags tab lists every tag you've used, with a count of tasks.
A toggle button at the bottom-right of the panel switches between two modes:
- All tags — every tag in your library.
- In-use tags — only the tags currently used by tasks in the selected list. Useful for narrowing the panel down to relevant context.
The bottom toolbar also includes shortcuts for Nearby and Calendar Events. The Calendar Events button sits next to the Nearby/location button.

Tagging a Task
- In the editor — tap the Tags field; type to autocomplete or create a new tag inline.
- Tap-and-hold popup — long-press a task → Tag....
- Batch — enter batch-edit mode and apply tags across many tasks at once.
Creating a Tag
Use the add button in the Tags panel, type the tag name, and add it. Matching tags appear while you type so you do not create duplicates by accident.
Each tag belongs to a tag group. The add field includes a group selector, so you can choose the group before saving the tag or open the group manager from there.
Filtering by Tag
Tap any tag in the panel to filter the task list to tasks carrying that tag. Tap multiple tags to combine filters. Tap a tag again to clear it from the filter.
Tag Groups
Tag groups keep a growing tag library tidy. Common groupings:

@blocked,@in-review,@on-hold.
Tag groups appear as section headings in the Tags panel. To create or manage them, long-press a tag group heading and choose Manage Tag Groups, then tap Create New Group.... You can also reach the group manager from the group selector while creating a tag.
To move tags between groups, enter the Tags panel's edit mode and drag the tag into the group you want.
Editing, Reordering, Renaming, Deleting
- Delete a tag — swipe left on the tag → Delete.
- Pause or resume a tag — swipe left on the tag → Pause or Resume.
- Reorder tags within a group — tap the Edit button at the top-left of the panel and use the drag handles.
- Move a tag to another group — use the same edit mode and drag it into the other group.
- Reorder groups — tap and hold any group → Manage Tag Groups → drag groups into the order you want → tap Close.
Pausing a Tag
Any tag in 2Do can be paused. When a tag is paused, every task that carries that tag is hidden from view automatically — All, Today, list views, search. The tasks remain in your database; they're just temporarily out of sight. This is the cleanest way to put a whole context on hold without editing tasks one at a time.
Pausing and Resuming a Tag
- In the Tags panel, swipe left on the tag you want to pause and tap Pause.
- Resume the tag the same way — swipe left and tap Resume. The tag stays in your library either way. Only its associated tasks change visibility.
Showing Paused Tasks Without Resuming
- Toggle the paused indicator on the sort bar (top of the task list) to show or hide paused tasks alongside the normal view.
- Use the search keyword

Common Pause Patterns
- Pause
@waitingwhile you're on a long flight — anything blocked on someone else's reply steps out of view. - Pause
@homeduring work travel — chores you can't possibly do yet stop showing up. - Pause a project context (
@kitchen-reno) while you wait for materials — resume when the parts arrive.
Nearby
The Nearby tab shows a map and a list, sorted by distance from your current location.
- Map — pins for every task with a location.
- List — tasks sorted by distance.
- Nearby / All Locations — switch between locations near you and your full saved-location list. Tap a pin or list row to open the editor. Long-press for the quick-actions popup.
Adding a Location
Open a task and tap the Location field. Search by name or address, or pin a custom point on the map. Configure:

- Alert on Arrive — fire when you arrive at the geofence.
- Alert on Leave — fire when you exit. The geofence radius defaults to a few hundred meters; adjust saved locations from Settings > Nearby > Manage Locations.
Location alerts require Always location access. iOS may downgrade this to While Using after a long period of inactivity — re-grant access from Settings > Privacy & Security > Location Services > 2Do.
Calendar Events
The Calendar Events view is part of the Utility Panel. It shows events from accounts already available in the iOS Calendar app, so you can check your day without leaving 2Do.
- iPhone — swipe the task list to the left to reveal the Utility Panel, then tap the Calendar Events button in the bottom toolbar next to the Nearby/location button.
- iPad — use the right calendar/editor pane when it is visible. In a narrow iPad window, use the same swipe-left Utility Panel gesture as iPhone.
When you open Calendar Events, 2Do asks iOS for Calendar access if needed. The view opens on today, shows events for the selected day, and includes a date strip you can use to move through upcoming days. Busy markings in this view come from calendar events.
Calendar Events is separate from the mini calendar. Calendar Events shows entries from the iOS Calendar app; the mini calendar is for filtering and deferring 2Do tasks by date.
Mini Calendar
The small calendar button near the bottom-left of the task list opens 2Do's mini calendar. This calendar is for task dates, not for displaying external calendar events.
The mini calendar shows small dots under days that have matching 2Do tasks with a start date or due date. More dots means more tasks on that date.

Filtering by Date
- Tap a day to filter the task list to tasks on that date. Tap the same day again to clear the filter.
- Tap and drag across a range of dates to filter the task list to that date range — for example, dates 12–17 to see tasks for that week.
- Combine the date filter with a tag filter (tap a tag in the Tags panel) to drill in further: tasks tagged
@shop, dated between Friday and Sunday.
Drag-and-Drop to Defer
The mini calendar is also a deferral surface:
- Tap the three-dots indicator at the top-right of the calendar to enter batch-edit mode.
- Select the tasks you want to defer.
- Tap and hold on any selected task to start the drag.
- Drop the bundle on the destination date in the calendar.
All selected tasks are deferred to that date in one move.
Hiding the Mini Calendar
- Tap the small arrow at the top-left of the calendar.
- Or hold and drag the calendar down.
Tips
Combine the Nearby tab with an Errands Nearby Smart List (see Smart Lists) for a one-tap "what can I do near me right now?" view.
Keep tag names short and consistent. Renames are easy (long-press a tag → Rename), but a clean tag library beats a tidy rename any day.
